Privacy Policy

Welcome to Kickd ("the App", "we", "our", or "us"). Kickd is a youth sports management platform designed to help parents track their children's football games, weekly goals, and team progress.

We are deeply committed to protecting the privacy and safety of children and families who use our platform. This Privacy Policy explains what information we collect, why we collect it, how we use it, and your rights as a parent or guardian.

By creating an account or using Kickd, you agree to the practices described in this Privacy Policy. If you do not agree, please discontinue use of the App.

Kickd is intended for use by parents and guardians of children participating in youth football programs. This Policy covers:

• Parents and guardians who register accounts and manage their child's profile
• Children whose information is submitted by their parent or guardian
• Coaches and administrators who access the platform for team management
• Adult ("Opens"/Seniors) players who choose to use their own limited player account

Important: Kickd is designed for parents, guardians, and coaches. Children under 13 never have their own account. Adult ("Opens"/Seniors) players may have their own limited player account (see Section 3.4). Players under 18 do not create their own accounts; a parental-consent flow for U13–U18 players is in development, after which a U13–U18 player will be able to have a limited account only with explicit parental consent.

3.1 Parent / Guardian Account Information

When you register on Kickd, we collect the following information:

• Email address (used for account authentication and communications)
• OAuth authentication credentials (via Google or other OAuth providers you choose to link)
• Account preferences and notification settings
• Vote activity when participating in in-app voting features

3.2 Child Information

As a parent or guardian, you may provide the following information about your child:

• Child's first name (or nickname) — used to personalise their profile within the App
• Age or date of birth (to assign appropriate age-group teams and content)
• Team or club association
• Weekly goals set by the parent, guardian, or coach
• Progress and performance notes tied to weekly goals

We do not collect photographs, school information, home addresses, government identification, or audio recordings for children.

3.3 Player Account Information

Some players have their own limited player account — today, adult ("Opens"/Seniors) players only. For any player account we keep only the minimum needed:

• The player's name (already held as part of their team)
• The player's email address (used solely to send a sign-in invitation and authenticate their login)

A player account is strictly limited to viewing the player's own statistics and casting Players' Player votes. It cannot post comments, upload photos, send messages, or use any other feature. A parental-consent flow for U13–U18 players is in development; when it launches it will additionally record the consenting parent or guardian's email and a record of consent, under these same strict limits.

3.4 Game and Activity Data

Kickd collects information related to in-app football games and activities:

• Game results, scores, and match history
• Player statistics as submitted by parents or coaches
• Weekly performance goals and completion status
• Team rankings and leaderboard data

3.5 OAuth Integration Data

If you choose to connect Kickd with an OAuth provider (such as Google), we receive:

• Your verified email address from the OAuth provider
• A unique user identifier token from the OAuth provider
• Basic profile information such as your display name, if granted

We do not receive your OAuth provider password. OAuth tokens are used solely to authenticate your identity and are not sold or shared with third parties.

3.6 Technical and Usage Data

• Device type and operating system
• App usage patterns and session duration (anonymised)
• Crash reports and diagnostic data
• IP address (for security and fraud prevention purposes)

3.7 Device Permissions — Kickd Callout

Kickd Callout is an optional feature that lets coaches and assistants log match statistics hands-free during a game. To provide it, the App requests two device permissions:

• Microphone. When Callout is active, the App uses your device's microphone (or a connected boom microphone) to detect the spoken cues you use to log stats — for example, calling a goal or a substitution. Audio is processed in real time, on your device, using an offline, on-device speech-recognition model, solely to recognise those cues. Kickd does not record, store, or transmit any audio. No recordings are created and no audio is ever sent to our servers or shared with anyone — only the resulting statistic (for example, "goal logged") is saved.
• Bluetooth. The App uses Bluetooth solely to connect to the boom microphone or compatible accessory you pair for Callout. We do not use Bluetooth to determine your location, to scan for nearby devices or beacons, or to track you.

Callout only listens while you switch it on for a match. You can deny or revoke either permission at any time in your device settings; Callout will not function without them, but the rest of the App continues to work normally.

Account Management

We use your email address and OAuth credentials to create, maintain, and secure your account, and to verify your identity when you log in.

Child Profiles and Goal Tracking

Children's names and weekly goals are used solely to display personalised profiles and progress tracking within the App. This data helps parents and coaches monitor development week to week.

Games and Team Features

Game data and team statistics are used to display scores, rankings, and achievements within the Kickd platform.

Kickd Callout

If you use the optional Kickd Callout feature, your device's microphone is used in real time, on your device, to recognise the spoken cues you use to log match statistics. The audio is never recorded, stored, or transmitted; only the resulting statistics are saved.

Voting Features

Your email address and account identity are used to authenticate votes within the App and prevent duplicate voting. Vote results may be displayed to other app participants.

Communications

We may send you account-related emails such as password resets, policy updates, and important service announcements. We will only send promotional communications if you have opted in.

Safety and Security

We use technical data and account information to detect suspicious activity, prevent unauthorised access, and maintain the security of user accounts.

This section is particularly important. Kickd takes the privacy and safety of children very seriously.

• Children under 18 do not directly create accounts or submit their own data
• All child information is provided by a verified parent or guardian
• We collect only the minimum information necessary to operate child profiles (name and goals)
• We do not use children's information for advertising or profiling
• We do not display children's full names or identifying details publicly
• We do not knowingly collect data from children without parental consent
• We are building a parental-consent flow so that, in future, U13–U18 players may have a limited account (their own statistics and Players' Player votes only) with explicit parental consent — never comments, photos, or messaging
• When the optional Kickd Callout feature is used, the device microphone is used only to detect a coach's or assistant's spoken cues for logging stats; no audio of any child — or any other person — is ever recorded, stored, or transmitted

If you believe a child has submitted data to Kickd without parental consent, please contact us immediately at hello@kickd.au and we will promptly delete that information.

We do not sell your personal information or your child's information. We may share data in the following limited circumstances:

Within the App

Children's first names and weekly goals may be visible to coaches and other authorised team members within your child's team. Parent email addresses are not shared with other app users.

Service Providers

We may share data with trusted third-party service providers who assist us in operating the App (such as cloud hosting, analytics, and email delivery services). These providers are bound by confidentiality agreements and may not use your data for any other purpose.

OAuth Providers

When you log in via OAuth, limited data is exchanged with your chosen provider (e.g., Google) to authenticate your identity. Please review your OAuth provider's own privacy policy for details.

Legal Requirements

We may disclose information if required by law, court order, or to protect the safety of our users or the public.

Business Transfers

In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you via email and/or a prominent notice in the App before your data becomes subject to a different privacy policy.

We retain personal information for as long as your account is active or as needed to provide services. Specifically:

• Account data (email, OAuth credentials): retained until you delete your account
• Child profile data (name, goals): deleted within 30 days of account deletion
• Game and match data: retained for up to 3 years in anonymised form for platform statistics
• Technical logs: retained for 90 days for security and debugging purposes

You may request deletion of your data at any time (see Section 9 — Your Rights).

We implement industry-standard security measures to protect your information, including:

• Encryption of data in transit using TLS/HTTPS
• Encryption of sensitive data at rest
• Secure OAuth token handling — we never store your OAuth provider password
• Regular security reviews and access controls
• Staff training on data privacy obligations

While we take all reasonable precautions, no digital system is completely secure. We encourage you to use a strong, unique password and to enable two-factor authentication where available.

As a parent or guardian using Kickd, you have the following rights regarding your personal data and your child's data:

• Access: Request a copy of the personal data we hold about you or your child
• Correction: Request correction of any inaccurate or incomplete information
• Deletion: Request deletion of your account and all associated personal data
• Portability: Request your data in a structured, machine-readable format
• Objection: Object to certain uses of your data, including direct marketing
• Withdrawal of Consent: Withdraw consent at any time for optional data uses

To exercise any of these rights, please contact us at hello@kickd.au. We will respond to all requests within 30 days. We may need to verify your identity before processing certain requests.

Kickd supports login via third-party OAuth providers. When you use OAuth login:

• You are redirected to your OAuth provider's login page (e.g., Google)
• We receive only the minimum necessary information: your verified email and a unique user token
• We do not receive or store your OAuth provider password
• You can revoke Kickd's access to your OAuth account at any time via your provider's security settings

Your use of OAuth login is also governed by the privacy policy and terms of service of the relevant third-party provider. We recommend reviewing those policies.

Kickd includes a voting feature that may be used for team decisions, player of the week awards, or similar activities. Regarding this feature:

• Your email address and account identity are used to authenticate each vote
• Votes are recorded to prevent duplicate submissions
• Individual vote choices are not displayed to other users; only aggregated results are shown
• Coaches and administrators may be able to view vote totals but not individual voting identities
• Players with a player account may vote in the Players' Player season leaderboard; individual vote choices remain private and only aggregated results are shown

Kickd is operated from Australia. Your data is stored with our hosting provider (Supabase) in Singapore, and is accessed by us from Australia. If you use Kickd from outside these regions, your information is transferred to and processed in Singapore and Australia, and in the regions where our other service providers (such as email delivery and payment providers) operate.

Where required by applicable law — including the GDPR for users in the European Economic Area and the United Kingdom — these transfers are protected by appropriate safeguards, including Standard Contractual Clauses in our agreements with our service providers.

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will:

• Update the "Last Updated" date at the top of this Policy
• Send an email notification to your registered email address
• Display a prominent notice within the App

Your continued use of Kickd after the effective date of any changes constitutes acceptance of the updated Policy.
